Every candidate, documented: how Clara AI exports hiring data

Clara is one part of a hiring operation that includes an ATS, a HRIS, and stakeholders who won't log into another platform. For Clara's screening data to be useful across that stack, it needs to travel — into Workday, into a PDF for the hiring panel, into a compliance file when a Subject Access Request arrives.
Our data export feature is how that happens.
Two export types
Pipeline CSV — a bulk export of every candidate in a vacancy, including name, contact details, interview date, status, per-requirement ratings, per-skill ratings, CV data, and internal notes. Triggered from the vacancy kanban view with one click. Formatted with UTF-8 BOM for direct Excel compatibility.
Individual candidate export — a single candidate exported as either a CSV (for data portability and SAR compliance) or a branded PDF report (for sharing with hiring managers and stakeholders who don’t have Clara access).
Both types are available on all Clara plans.
What the PDF report contains
The PDF is a formatted, shareable document designed to replace the screenshot workaround that some clients were already using.
It includes candidate name, contact information, and application date; overall match score with visual indicator; competency breakdown with evidence excerpts from the interview; CV summary with work history, education, and certifications; and a link to the interview recording.
The PDF renders consistently across Chrome, Adobe, and Preview.
It’s suitable for sending to hiring managers who have no access to Clara and no interest in logging in.
GDPR and Subject Access Requests
Organisations processing personal data under GDPR are required to respond to Subject Access Requests — requests from individuals asking what data is held about them — within 30 days.
Without a proper export mechanism, fulfilling these requests meant manually compiling data from multiple screens.
The individual CSV export produces a complete, structured data file for a single candidate in a format that satisfies the portability requirement. All exports are scoped to the authenticated user’s tenant — no cross-tenant data exposure is possible.
Getting data into your ATS or HRIS
Clients who use external applicant tracking systems often need to push Clara’s screening output — scores, status, contact data — into Workday, Greenhouse, or similar platforms.
The pipeline CSV format is structured to support this. Each role requirement and skill assessment is exported in its own column, with both the rating label and the supporting evidence.
