A candidate books a slot, something comes up, they don’t attend, and the recruiter finds out when nobody joins the call. The slot is gone. The next candidate in the queue never got the chance.

How the WhatsApp invite works

Once a candidate has been shortlisted, the recruiter sends a booking invite. With WhatsApp enabled, the invite goes via both email and WhatsApp simultaneously.

The WhatsApp message contains a link to choose a time slot, with a button that opens the booking calendar directly.

The booking link is single-use. Once a candidate selects a slot, the link is deactivated, preventing duplicate bookings from the same invitation.

When the candidate books, they receive a confirmation email from Clara which includes an .ics calendar event for easy diary entry.

The 24-hour confirmation prompt

At 24 hours before the scheduled interview, the candidate receives a WhatsApp reminder that includes native Quick Reply buttons: ✅ Yes or ❌ No. One tap is all it takes.

Replying Yes updates the status to Confirmed and schedules the 1-hour reminder.

Replying No updates the status to Cancelled, frees the slot for the next candidate, and notifies the recruiter automatically.

No reply leaves the booking as scheduled and the 1-hour reminder still fires.

Candidate card statuses

When WhatsApp is the active channel, candidate cards in the Clara pipeline reflect the conversation state in real time:

• Booked (slot selected)

• Confirmed (candidate replied Yes)

• Cancelled (candidate replied No or recruiter cancelled)

This gives recruiters a live view of attendance likelihood without chasing candidates manually.

What happens at 1 hour before

If a candidate confirmed attendance, they receive a WhatsApp reminder 1 hour before the interview.

If they replied No or the slot was cancelled, the 1-hour message is not sent.

Only confirmed interviews get the final reminder.

Email-only and SMS alternatives

WhatsApp is one channel option, not the only one. Recruiters can configure scheduling to run via email and SMS instead.

In this configuration, reminders are sent at 24 hours and 1 hour, but there is no confirmation prompt — the candidate receives a standard reminder without Yes/No buttons.
